What this covers

This describes how we handle information when a venue uses Lumio, and when someone calls a phone number answered by Lumio.

Calls are recorded and transcribed

When someone calls a number answered by Lumio, the call is recorded, converted to text, and stored. This is how the system understands the caller and how the venue can read what was said afterwards.

Recording laws differ by state. Some require every party to consent. Venues using Lumio are responsible for meeting the requirements that apply where they operate, and we will add a spoken disclosure to the greeting on request.

What we collect

From callers: phone number, name if given, and what was discussed on the call, including any booking details.

From venues: the information you enter to configure the system, such as hours, rooms, prices and the answers you want callers to hear, plus the email addresses of staff who sign in.

Who else sees it

Call audio and transcripts pass through the suppliers who run the voice pipeline: Vapi, Deepgram, ElevenLabs, and Anthropic. Calls are carried by Twilio. Data is stored with Neon and served through Cloudflare. Sign-in is handled by Clerk. Each processes data only to provide their part of the service.

We do not sell information to anyone, and we do not use one venue's data to serve another.

Separation between venues

Every venue's data is isolated at the database level and enforced on every request.

How long we keep it

Call recordings, transcripts, bookings and contacts are retained while a venue is using Lumio. A venue can ask for its data to be exported or deleted at any time by writing to [email protected].

Your rights

Depending on where you live you may have the right to ask what we hold about you, to correct it, or to have it deleted. Write to [email protected] and we will respond.

Changes

If this changes materially we will say so here and update the date above.
